- Information relating to LT Academy, candidate or consultant applications and participation.

Where we obtain information
Most information comes directly from you when you speak with us, complete a form, undertake a Business Review, participate in LT Academy or otherwise interact with Let’s Talk Group.
We may also use information available from legitimate public sources, including publicly available company and business information such as Companies House.
Where publicly available information identifies an individual, we recognise that it may still be personal information and treat it accordingly.

We do not sell personal information. We identify a business need first rather than distributing personal information for unrelated marketing.
LTG-OS and business records
Information submitted through our Business Review, campaign questionnaires, contact forms and business conversations may become part of the relevant business record within LTG-OS.
LTG-OS helps authorised Let’s Talk Group personnel understand previous conversations, maintain continuity and identify relevant needs or opportunities.
Access is intended to be limited according to a person’s role and legitimate need to use the information.
Call recording and transcription
We may record or transcribe business conversations where the person taking part has agreed to the recording.
We may use recordings and transcripts to:
- Accurately understand what was discussed.
- Reduce misunderstandings.
- Improve communication.
- Maintain an accurate business record.
- Identify or recommend solutions that may be appropriate.
Recordings and transcripts may form part of the relevant business record and may be accessed by authorised Let’s Talk Group personnel where necessary.
How we use artificial intelligence
Let’s Talk Group uses AI-assisted technology as part of how we organise information, understand business requirements and support our people.
AI-assisted tools may help us:
- Organise information.
- Transcribe and summarise conversations.
- Analyse information provided to us.
- Identify patterns or potential needs.
- Improve communication.
- Support recommendations and decision-making.
It does not replace human judgement.
We do not use solely automated decision-making to make decisions about individuals that have legal or similarly significant effects.
Our lawful bases

Candidates, LT Academy and consultants
If you apply to join Let’s Talk Group, participate in LT Academy or work with us as a consultant, we may process information required to:

- Record assessment and progress.
- Determine access to LTG systems and opportunities.
- Administer our working relationship.
- Meet relevant legal and business obligations.
As these activities develop, we may provide a separate Candidate and Consultant Privacy Notice containing more detailed information.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including legitimate business, contractual, legal, accounting and regulatory requirements.
